Hiring Guidelines for Part-Time Employees

Before a part-time, non-benefited employee can begin work, all required forms (listed below) must be completed and submitted to Human Resources. These forms are included in the new employee package provided to the employee from the Office of Human Resources.

Employees cannot begin work until the position has been fully approved and all required paperwork has been submitted. 

Federal Required Forms:

  • Form I-9 Employment Eligibility Verification.  Employee has three days to provide original documentation as listed on form.
  • Form W-4 Employee's Withholding Allowance Certificate
    Employees should review their W-4 status annually and to file a new W-4 if necessary. If claiming "Exempt", a new W-4 must be filled out each year.
  • SSA-1945 Form (Statement Concerning Job Not Covered by Social Security).

  • Copy of Employee's signed Social Security Card.


Part-time and adjunct faculty are required to submit a signed contract for each course they teach prior to the processing of any payment. Please contact Academic Affairs or School of Graduate Studies regarding required paperwork.

Pay Schedule

All part-time, non-benefited, temporary employees are paid bi-weekly through HR/CMS (The Commonwealth of Massachusetts Payroll System).  The following printable calendar lists payroll dates for HR/CMS employees:

OBRA

All part-time, non-benefited employees, who are not full-time benefited employees of Bridgewater State College must have OBRA Contributions deducted from their earnings.

You may be exempt from this contribution if you are currently a Commonwealth of Massachusetts full-time employee participating in the retirement system, or are retired from The Commonwealth of Massachusetts and collecting a pension.( The Massachusetts Teachers' Retirement System does not qualify you to be exempt from OBRA. Although, it is a state retirement system, it is not the same retirement system that State Agencies contribute to. You must work full-time at a Massachusetts State Agency to receive this exemption. We have had many employees in the public school systems inquire about this and we have contacted the Treasury and the State Retirement Board on this issue. Both have instructed our office to withhold OBRA under these circumstances.)

HIRD (Health Insurance Responsibility Disclosure Form)

Effective July 1st, 2007, the Commonwealth of Massachusetts requires all adults to have health insurance coverage. All part-time, non-benefitted employees should visit the Commonwealth Health Connector's website at www.mahealthconnector.org or call 1-877-MA-ENROLL to compare health insurance options. Employees are eligible to purchase coverage on a pre-tax basis through a Section 125 plan. The Commonwealth of Massachusetts' Employer ID# is 149683. All part-time employees must complete the Commonwealth's HIRD form each year with an effective date of July 1st.( The plan follows the fiscal year.) Open enrollment will be from May 1st to May 30th each year. A HIRD form will be included with your hiring package. For more information, please contact the Benefits Office in Human Resources.


Time Sheets

Since part-time, non-benefited employees are paid only for hours worked, an employee will not be processed on a payroll without a signed Hourly Employee Timesheet . Work must be completed and vouchers signed by the employee and supervisor and submitted to the Payroll Office by Friday at 12:00 PM  of the current week. Timesheets not submitted by this deadline will not be paid until the following pay period.

The Timesheet must include:

  • Hours Worked each day
  • Employee ID and Record Number
  • Employee's Signature
  • Supervisor's Signature

Timesheets will be generated and distributed to the departments by the Payroll Office. Timesheets should be made available to the employee in their department.

If changes are necessary after the submission of the timesheet, the department must complete an Attendance Exception Form- Hourly Employees as soon as the discrepancy is discovered.
